When should I turn in my Inventory and Condition Form?

Fill out and return inventory and condition form within two days of moving in. 

What is my Inventory and Condition Form for?

The Inventory and Condition Form is to document anything that might reflect on your deposit before you move in so it will not be charged in error.  Pictures of the property are also taken prior to move in by Circle C to ensure documentation.  This is not a fix list, any and all repair requests need to be submitted separately to servicerequest@circlec.com

Where can I find the keys and garage door openers when I move in?

Look in kitchen drawers for garage door openers, if they aren’t there please contact Circle C Properties.  The keys should remain in the lockbox on the front door until the locks are changed.  Circle C chooses to wait until you are moved in to change the locks to guarantee your safety. 

What information does Circle C need when I move in?

Change all utilities into your name.  Contact Circle about changing the locks.  Notify Circle C of new phone numbers. 

What is your rental policy?

Rent is due on the first of the month unless otherwise specified in writing and agreed upon by all parties.  Rent is late after 6:00pm the third of the month and late charges accrue at $25 on the fourth and $10.00 a day for every day after the full rent amount is not received. 

How do we handle repairs?

Any and all repair requests need to be written down and mailed, or emailed to us at servicerequest@circlec.com unless it is an emergency repair.  After we receive the repair request we will call the vendor and give them your name and describe the problem, they will then contact you and set up a time to take care of the problem.  If for any reason a repair is scheduled and no one lets the vender inside, a $45.00 trip charge will be charged to your account. 

Do you inspect the property?

At least once a year, a walk through inspection will be done on the rental unit. An appropriate time will be scheduled with us beforehand.  Circle C periodically drives by to inspect the outside of the house and the yard. 

What am I responsible for in the house?

Tenants are responsible for all filters and light bulbs.  All filters need to be changed every month. This includes air filters and furnace filters. This is very important, there are only two reasons an air conditioner will freeze up-dirty filters or low Freon.  Tenants must water plants and lawn regularly according to city regulations, three times a week during growing season and fertilize the lawn three times a year during growing season.  Lawns should be kept mowed, edged, weeded and otherwise well kempt at all times and are subject to violations if standards are not upheld.  Any fines from the city about landscaping issues will be charged back to the tenant.  We generally do not recommend our tenants do even small plumbing repairs.  Begin to mow lawn in March/April. Keep lawn mowed, edged, and weeded.  Upkeep is crucial during growing season. 

How can I protect the property from cold and freezing weather?

Cover outside faucets when the weather starts to cool down.  During freezing weather, let indoor faucets drip slightly, and open cabinets under sink to prevent frozen pipes.  Swimming pool should be kept running at all times during freezing weather.  Turn sprinklers off when weather starts to get cold. 

How do I operate my fireplace?

To operate the fireplace, first open the damper and then light the fire.  Keep the damper closed when not in use.  The handle is the throat of the flue.  If for any reason there is smoke in the house instead of the chimney put out fire immediately and contact Circle C.

Do you have any tips or suggestions?

To reduce cleaning costs, consider using oven liners.  Outside air conditioning unit needs to be hosed off once a month during cooling season.  Whirlpool tubs must be operated with appropriate soap, and pumps never turned on without water to cover the jets. 

My dish washer doesn’t work.

On a lot of properties, there is a switch on the wall near the garbage disposal switch to turn the dish washer on. 

When I turn on my garbage disposal it makes a humming noise but doesn’t turn on.

Make sure it is turned off, first and foremost.  Put a wooden spoon or brooms handle in the disposal and jiggle it around for a few minutes.  Usually there is a small piece of bone or something caught in there, this should shake it loose.  Press the reset button on the bottom of the disposal, and try to turn it on again. If this doesn’t work please call us. 

My heat/air isn’t working.

Check the breakers.  There will almost always be a double breaker, do not assume it is on.  Flip them both off and then back on, this should reset the breaker. Check that filters are clean, hose off outside unit to clear of debris. 

The outlets in my kitchen or bathroom won’t work.

Most likely a GFI has popped off.  Check in garage and under sinks for a red GFI reset button.  Pushing this should solve the problem. 

Can I use my security deposit for my last month’s rent?

Security deposits are never to be used for rent under any circumstances. 

If I want to move out, can I just leave?

No.  We require at least 30 days written notice of move-out at the end of your lease.  Any other move out time will be negotiated on a case by case basis. 

My heater is on but its still cold in the house.

Properties that have a heat pump will have an additional setting on their thermostat called emergency heat.  Heat pumps are not designed to operate below approximately 25°.  When the temperature goes below 30° turn on the emergency heat to warm the house and save electricity. 

What am I responsible for when I move out?

Clean all appliances, insides of drawers and cabinets.  Clean fireplace.  Mop floors and clean bathrooms.  Clean up yard and clean and sweep garage.  Do not touch up walls with the wrong color paint; this could end up costing you more than not touching them up at all.  Notify us of new contact information to receive bills and/or deposit.  Carpets need to be professionally cleaned.  Do not turn off utilities, request a final reading.
